Overview

The Manager, Training Scheduling is responsible for the oversight and supervision of the day to day activities of the Training Scheduling team. This role will oversee the effective planning, coordination, and execution of training schedules for all Flight Crew, Instructors and FSI Flight Attendants. This role will ensure that all training requirements are met in compliance with Federal Aviation Administration regulations, company policies, the Atlas Collective Bargaining Agreement (CBA) and organizational goals. The Manager, Training Scheduling will collaborate with various departments including but not limited to Training Records, Crew Planning, and Training, Standards, and Compliance to create efficient training schedules that meet the evolving needs of the company.

Responsibilities

  • Manage the day-to-day operations of the Training Schedulers and Training Scheduling Department.
  • Supervise the development and management of comprehensive training schedules for all Flight Crew, training Instructors and FSI Flight Attendants.
  • Ensure crew member schedules meet all regulatory requirements and company standards for training and certification timelines while adhering to the Atlas CBA requirements.
  • Review and audit all schedules and entries to ensure consistency and adherence to standardized processes for schedule creation. Continuously monitor training completion and make necessary schedule adjustments to ensure compliance with regulatory requirements and internal deadlines. Work closely with internal departments such as Training Records, Crew Planning, and Training, Standards, and Compliance to align training schedules with operational requirements.
  • Serve as the point of contact between the training department, trainers, and employees to address scheduling conflicts, delays, or adjustments.
  • Liaise with external training vendors as necessary to schedule and coordinate external certifications or specialized training.
  • Assist the Director of Training Center Administration in ensuring appropriate resource allocation, including instructors, facilities, simulators, and training materials.
  • Optimize the use of internal training assets and identify discrepancies in resources to ensure efficient scheduling.
  • Ensure all training schedules are in compliance with Federal Aviation Administration (FAA) regulations, 8900.1 guidance, the Atlas CBA, company manuals, and other relevant aviation safety standards.
  • Responsible for ensuring new employees are trained accordingly and providing guidance for current employees. Provides oversight of the training of team members to support development and institutional knowledge.
  • Approving payroll in a timely manner for the Training Scheduling team this includes but is not limited full time employees, temps and contractors.
  • Oversee on-going step/progressive development of the Training Scheduling group to ensure staffing levels are maintained to meet internal/external service level/quality assurance standards
  • Coach, mentor and develop the Training Scheduling employees across all levels, including overseeing new employee onboarding and providing career development planning and opportunities. Monitors performance and takes action to correct any shortfalls. Assist in identifying opportunities for improving scheduling processes and procedures. Supports in identifying and implementation of key business improvement initiatives within Training Scheduling.
  • Conduct regular audits of and on behalf of the Training Scheduling Department, as outlined in the Training Center Standard Operating Procedures (TCSOP) manual.
  • Assist in maintaining and updating the Master Training Schedule (MTS) to ensure continued accuracy and functionality. This includes but is not limited to providing support to avoid disruptions and aiding in the development of scheduling-related Standard Operating Procedures (SOPs) for future implementation into the (TCSOP).
  • Work to develop Standard Operating Procedures for implementation into the TCSOP manual and assist in manual revisions when necessary.
  • Provide support in day-to-day scheduling operations when necessary to cover staff absences or vacations, ensuring smooth and uninterrupted scheduling processes.
  • Perform other administrative projects and responsibilities as assigned by the Director, Training Center Administration.

 

Qualifications

  • Bachelor’s degree in Business Administration, Aviation Management, or related field (or equivalent experience) required.
  • Minimum of 5 years of experience in training coordination or scheduling, preferably in the aviation industry.
  • Understanding of FAA training requirements and industry regulations is preferred.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficiency in scheduling software or training management systems is required. Experience with AIMS Crew Scheduling Management software is a plus.
  • Must be proficient in Microsoft Office Suite
  • Experience managing for a large-scale aviation company is preferred.

Salary Range: $71,000 -$96,000

 

Financial offer within the stated range will be based on multiple factors to include but not limited to location, relevant experience/level and skillset.
