Overview

The External Training Program Coordinator plays a critical administrative and logistical role in supporting Atlas’ external training programs, primarily under Part 142 operations. This position ensures the accurate building and maintenance of training records, manages communications with trainees and external partners, supports Transportation Security Administration / Flight Training Security Program (TSA/FTSP) compliance processes, and coordinates training event logistics for both instructors and trainees. This role will also be responsible for editing and updating Federal Aviation Administration (FAA) Part 142 training manuals and materials in compliance with regulatory changes and internal directives.

Responsibilities

    • Build and maintain complete, compliant training records in alignment with FAA Part 142 requirements.
    • Digitally organize and update training folders via shared drive; ensure secure and orderly storage of documentation.
    • Collect, verify, and archive training documentation from trainees and instructors to ensure accurate record-keeping, compliance with regulatory requirements, and support for training program evaluation and reporting.
    • Assist with audit preparation by compiling records for review by TSA, Federal Aviation Administration, and internal audit teams.
    • Assist with the TSA/FTSP process for non-U.S. passport holders to maintain regulatory compliance and ensure smooth access to the training program by:
      • Tracking trainee submissions and approvals.
      • Uploading trainee photos for FTSP compliance.
      • Coordinating with trainees and scheduling TSA photo appointments with internal support personnel.
      • Closing out FTSP training events once completed.
    • Coordinate the development of training schedules for students and instructors.
    • Continuously update training schedules and coordinate adjustments, rescheduling requests, and instructor availability with the Training Scheduling team to maintain a seamless program delivery.
    • Manage classroom and simulator bookings, including cancellations and reschedules.
    • Prepare daily documents for classroom events such as Welcome packets, Day-one ground school pamphlets, and Emergency contact sheets
    • Submit IT and equipment support tickets as needed (e.g., equipment at SIM bay and IT equipment issues).
    • Onboard new instructors by building training records and issuing required equipment/IDs. Order IT equipment, instructor iPads, badges, and supplies through appropriate channels.
    • Oversee the distribution email account to ensure all inquiries are addressed within a reasonable timeframe.
    • Request and issue invoices to applicants as necessary to support the payment process. Confirm receipt of payment via procurement (credit card or check).
    • Provide excellent customer service to external clients and training participants.
    • Coordinate administrative support for all external training classes and events.
    • Provide technical support for curriculum development by creating, editing, and maintaining PDF-based training materials using Adobe Acrobat.
    • Collaborate with Instructors and/or Subject Matter Experts (SMEs) to create and revise training manuals and materials.
    • Ensure manuals comply with current regulatory and operational standards to support accurate training and organizational compliance
    • Performs other administrative projects and responsibilities as directed by the Manager of External Training Program.

Qualifications

          • Minimum 2 years of administrative or training support experience (aviation or training center experience preferred).
          • Familiar with FAA regulations, including Part 142 and FTSP requirements is preferred.
          • Proficiency in Microsoft Office Suite, including advanced use of Excel as well as solid working knowledge of Outlook, Word, and PowerPoint for communication, documentation, and presentation of data insights.
          • Comfortable with Adobe Acrobat Pro for creating and editing forms and PDFs.
          • Strong attention to detail, time management, and organizational skills.
          • Customer-service mindset and effective communication skills (written and verbal).
          • Ability to manage multiple tasks in a fast-paced environment.
          • Must demonstrate effective verbal and written communication in English; Spanish proficiency is preferred.

Salary Range: $52,500-$71,000
